Key points at a glance

01

enaio vs DocuWare is a comparison of two document management and ECM platforms that both cover filing, search, workflow, permissions and audit-proof archiving. The differences lie in the operating model, the integration approach, the extensions and in who delivers the project.

02

DocuWare describes its cloud as multi-tenant SaaS, operated on Microsoft Azure with data centres in Europe, the USA, Japan and Australia, and additionally offers on-premises and hybrid operation.

03

AWP Consult runs enaio on the customer's own servers or in cloud hosting in Germany and connects it to SAP via RFC and BAPI, as well as to DATEV, Microsoft Dynamics 365, proALPHA, Sage and other ERP systems.

04

Under § 147 (6) of the Abgabenordnung (AO, the German Fiscal Code), the tax authority must be able to access tax-relevant data even after a system change. Data export and an exit scenario therefore belong in every DMS comparison.

05

What matters is a test with your own documents and a real process, evaluated against criteria weighted in advance.

06

AWP Consult does not implement DocuWare. If the analysis shows that DocuWare is the better fit, we say so openly, and the implementation is handled by a DocuWare partner of your choice.

What exactly do you compare in enaio vs DocuWare?

In enaio vs DocuWare you are not just comparing two programs but two complete packages consisting of software, operating model, interfaces and implementation partner, because both systems are used in mid-sized companies for document management, workflow and archiving, and the difference only becomes visible in how they are tailored to your business systems, document types and processes.

Anyone looking for a DocuWare alternative, or conversely an alternative to enaio, should therefore first describe their own starting situation and only then evaluate functions.

Do you have a specific question about your situation?

Which criteria decide the enaio vs DocuWare comparison?

In practice, six criteria decide the enaio vs DocuWare comparison: operating model and data location, integration with SAP and other ERP systems, the depth of the workflow logic, capture with AI and e-invoicing, the permissions and file model, and the partner responsible for implementation and operation. Each criterion can be tested with your own test cases.

01

Operating model and data location

DocuWare describes its cloud as a true multi-tenant SaaS solution, operated on Microsoft Azure with data centres in Europe, the USA, Japan and Australia. In addition, according to the manufacturer there is on-premises operation with Microsoft SQL or MySQL as well as hybrid models, such as the cloud as a storage location for backups of a local system.

Anyone using the DocuWare cloud operates, according to the manufacturer, no application servers and no storage hardware of their own. AWP Consult runs enaio on the customer's servers or in cloud hosting in Germany, which is often the deciding factor in the social economy and for energy suppliers. The detailed trade-off is described on the page Cloud or on-premises.

  • Data locationRecord the tenant's region and the location of the backups in writing
  • Data processingA contract under Art. 28 of the General Data Protection Regulation (GDPR) with subcontractors
  • EvidenceCertificates or attestations, such as ISO 27001 or an attestation under the BSI criteria catalogue C5
Practical tip

Clarify early whether and how a later change of operating model is possible.

02

DocuWare SAP and enaio SAP: integration with ERP systems

For SAP, DocuWare names an SAP-certified integration for S/4HANA and an archiving solution for the S/4HANA Public Cloud via the CMIS standard. As supported systems, the manufacturer lists SAP ECC 6.0 as well as S/4HANA in private cloud, public cloud and on-premises; which connectors are available depends on the DocuWare variant and the SAP system. For other ERP systems, the manufacturer refers to its integration catalogue, the export of index data and iPaaS connectors.

AWP Consult connects enaio to SAP ECC and S/4HANA via RFC and BAPI, and also to DATEV, Microsoft Dynamics 365, Business Central and NAV, proALPHA, Sage, Diamant Software, eGECKO and Unit4. How this looks technically is described on the pages about the enaio interfaces and the enaio SAP interface.

What matters is which scenarios run over the interface: archiving, calling up the document from the ERP record, handing over checked invoice data or returning status.

Practical tip

Ask both providers who adapts the interface when the ERP system changes version and whether that is included in the maintenance scope.

03

Workflow and process logic

Both systems come with tools for digital processes. DocuWare describes the Workflow Manager with a drag-and-drop interface, deputy rules, deadlines with automatic escalation and mobile access. In enaio, AWP Consult implements approvals, deputies, escalations and individual rules and adds its own building blocks such as AWP SmartFlow where needed.

Differences rarely show up in the simple approval step, but rather in branches, queries, amount limits per person, separation of duties and the question of how much of this your team can maintain itself without programming. You can find the basics under Workflow Management.

  • Test case an invoice above the amount limit whose approver is on holiday
  • Test case a query to the orderer that is documented in the process
  • Test case a rule change that your key user makes themselves
Practical tip

Take the process with the most special cases as a test case, not the simplest one.

04

Capture, AI and e-invoicing

On its features page, DocuWare names Intelligent Indexing, Intelligent Document Processing, electronic forms and electronic invoices. In enaio, enaio classify reads paper and e-invoices, and the AI module enaio kairos recognises new layouts without fixed templates and learns from user corrections.

Since 1 January 2025, all domestic companies must be able to receive e-invoices. Both systems should recognise XRechnung and ZUGFeRD, display them legibly and archive the structured data in the format received. How this works with enaio is described under incoming invoice workflow.

Practical tip

Give both providers the same 20 to 30 real, anonymised documents, including poor scans and e-invoices.

05

Permissions, files and personnel file

For sensitive areas, a permissions concept that depends on role, document type and organisational unit matters. DocuWare names differentiated permissions and automatic deletion according to defined parameters. For enaio there is a dedicated solution for the digital personnel file with registers, permissions per role and deletion periods with a start event.

Check whether a system knows files as a functional unit, that is customer, supplier, contract or personnel files with their own structure, or whether you recreate this structure via filing locations and index fields. Both work, but they affect maintenance, search and permissions.

Practical tip

Write out the permissions concept as a table of roles and document types before you invite providers.

06

Partner, implementation and operation

Both systems are implemented via partners. At the acquisition by Ricoh in 2019, Ricoh named a network of around 600 DocuWare partners. For enaio, AWP Consult as a certified enaio partner handles consulting, implementation, development and integration, training, support and full-service support.

For your project, what counts is the team that records processes, builds interfaces and is reachable after go-live. AWP Consult has completed more than 250 projects since 2006, including in logistics, the social economy, industry and for energy suppliers.

Practical tip

At both providers, speak with users of a reference from your industry, not just with IT.

Who is enaio suited to, and who is DocuWare suited to?

Whether enaio or DocuWare is the better fit depends on your starting situation: a company with a clear cloud-first strategy and standard processes weights things differently than a forwarding company with shipment files or a business with several ERP systems and many file types.

Your starting situation decides Cloud or own servers Forwarding and logistics SAP as ERP Clarify scenarios Several ERP and business systems Many file types Small team with standards

Cloud or deliberately your own servers

DocuWare positions its cloud as multi-tenant SaaS; AWP Consult runs enaio in hosting in Germany or on your servers. Compare region, availability, contract term, data export and the range of functions per operating model.

You work in forwarding and logistics

Ask about experience with TMS integration, forwarding files and proofs of delivery, and about references from the industry. AWP Consult has delivered enaio projects at forwarding companies, including in the CargoLine network.

Your ERP is SAP

Both manufacturers name an SAP integration. What matters is which scenarios you need, such as document linking, archiving or invoice approval, and who looks after the interface during S/4HANA migrations.

You have several ERP and business systems

With DATEV, Dynamics, proALPHA or industry software, what counts is whether a ready-made connector exists or a project is needed. AWP Consult has connected enaio to many of these systems.

You need many file types

If customer, contract, personnel and project files with their own permissions and deadlines are to be created, check the file model of both systems. AWP Consult often deploys enaio as a company-wide ECM platform with many file types.

Your team is small and works with standards

Then what counts is how quickly your team becomes productive. Test the usability of both systems with your own documents and have the training effort set out in concrete terms.

We will show you how this looks with enaio at your organisation.

How does a fair system selection between enaio and DocuWare work?

A fair system selection between enaio and DocuWare runs in six steps: record requirements, weight criteria, define identical test cases with your own documents, evaluate both demonstrations against the same sheet, bring offers to the same scope and decide with reference conversations. In AWP Consult's experience, this takes four to six weeks in total.

System selection in six steps 1 Requirements 2 Weighting 3 Test cases 4 Demonstration 5 Offers 6 Decision 1 to 2 weeks 2 to 3 hours about 1 week 4 to 6 weeks in total
01

Record requirements

Describe processes, document types, volume structure, business systems, locations and number of users, in our experience within one to two weeks.

02

Weight criteria

Operating model, ERP integration, workflow, permissions, capture, data export and partner are weighted before the first demonstration, so that no presentation shifts the weighting.

03

Define test cases

Three to five real processes with special cases and a set of anonymised documents go to both providers.

04

Evaluate demonstrations

Two to three hours per system with the department and IT. Each person evaluates against the same sheet, and the results feed into a utility analysis.

05

Make offers comparable

Same number of users, services, operating model and term, usually within about a week.

06

References and decision

Reference conversations from your industry, a pilot area and a written rationale conclude the selection.

You would rather not work out the weighting and test cases on your own? We prepare both with you, with an open outcome.

Discuss the selection

Which questions should you ask during system selection?

During system selection, ask questions that can only be answered with concrete commitments: to both providers about operation, interfaces and data export, to the implementation partner about experience and support, and to your own team about goals and responsibilities. General points to check for every project are in our DMS implementation checklist.

01

Questions for both providers

  • In which region are the tenant, the data and the backups located?
  • Which scenarios does the integration with our ERP system cover?
  • How are e-invoices archived in the format received?
  • In which format do we export documents, index data and logs?
  • How long does data remain accessible after the contract ends?
02

Questions for the implementation partner

  • Which projects are there in our industry?
  • Who looks after us after go-live, and how do we reach them?
  • Who adapts interfaces when versions change?
  • How is the procedural documentation created?
03

Questions for your own team

  • Which three processes should run digitally first?
  • Who weights the criteria, and who decides?
  • Are the works council and data protection involved?
  • Which legacy data should be migrated?

Would you rather clarify this in person than read on?

How do you safeguard data export and a later system change?

You safeguard data export and a system change by defining as early as the selection stage in which format documents, index data, versions and logs are exported, how long data remains available after the contract ends and how the tax authority's data access is guaranteed after a change.

Under § 147 (6) AO, during an external audit the tax authority may inspect stored data, demand a machine evaluation or request the data in a machine-evaluable format. After a change of data processing system, once the fifth calendar year following the migration or outsourcing has elapsed it is sufficient to keep the data available on a machine-readable and machine-evaluable data medium, provided no external audit has yet begun. Until then, access must remain possible to the usual extent.

For cloud services, Regulation (EU) 2023/2854, the Data Act, also governs in Chapter VI the switch between data processing services. It has applied since 12 September 2025. Clarify the specific contractual obligations with your legal advisers. Technically, audit-proof archiving software with open formats such as PDF/A and documented export paths helps.

Define the export in advance, keep access Previous system Documents Index data Versions Logs Successor system Documents Index data Versions Logs Export PDF/A, index § 147 (6) AO Migration after 5 calendar years

Procedural documentation

Describe the export path and retention in a traceable way.

Unsure where to start? We will help classify your starting situation.

How do you compare the licensing models and effort of enaio and DocuWare?

You compare the licensing models and effort of enaio and DocuWare fairly by having both offers laid out to the same scope: the same number and types of users, the same operating model, the same modules and interfaces, the same term and the same range of services for implementation, training and support. Without this alignment, you are comparing different projects, not two systems.

What is decisive for cost-effectiveness is the integration effort, the number of processes, data migration and the operating model. How licensing is structured for enaio is described on the page about the enaio license. You can obtain an offer for your starting situation via our contact page.

How neutral can an enaio partner be in comparing enaio and DocuWare?

An enaio partner cannot compare enaio and DocuWare impartially in the strict sense, but can do so transparently: by disclosing what it stands for, backing manufacturer information with sources, weighting criteria together with you before the demonstration and saying clearly when another system is a better fit. That is exactly how AWP Consult works in system consulting.

If the analysis finds that DocuWare is a better fit for your requirements, we tell you so. The implementation is then handled by a DocuWare partner of your choice. If you are looking for a broader market view, you will find the methodology under Enterprise Content Management consulting and further comparisons under enaio and d.velop as well as enaio and ELO.

Which mistakes distort a DMS comparison?

A DMS comparison is distorted above all by function lists instead of test cases, demonstrations with sample documents, offers tailored differently, an unclarified ERP integration, a forgotten data export and a selection made by IT alone. All of these can be avoided before the decision, regardless of whether enaio or DocuWare wins in the end.

01

Ticking off function lists

Consequence
Behind almost every item there are ticks for both providers, and a decision does not follow from that.
Better
Define three to five real processes with special cases as test cases.
02

Sample documents in the demonstration

Consequence
Recognition appears better than it is in everyday use with your documents.
Better
Give both providers the same documents of your own, anonymised.
03

Offers with different scope

Consequence
The apparently cheaper offer contains fewer modules or services.
Better
Align the number of users, modules, operating model, term and services.
04

ERP integration as a yes-no question

Consequence
After the contract it turns out that data is only archived but nothing is handed over.
Better
Define scenarios in writing and have them demonstrated on your own ERP system.
05

Exit not regulated

Consequence
A later change becomes expensive, and tax-relevant legacy data is hard to access.
Better
Agree the export format, deadlines and data access in the contract.
06

Selection by IT alone

Consequence
Departments do not recognise their own processes and use the system hesitantly.
Better
Have accounting, HR and the departments help evaluate the demonstrations.

Do you have a specific question about your situation?

Which technical terms will you encounter in the ECM comparison of enaio and DocuWare?

These terms appear in data sheets, offers and contracts from both providers and should be understood consistently within the selection team.

01

ECM

Enterprise content management: company-wide management of content with files, workflow, archive and interfaces to business systems.

02

SaaS

Software as a service: the provider operates the software, you use it via browser or app and do not have to deal with servers.

03

Multi-tenant architecture

Many customers use the same platform instance, with their data kept logically separate. DocuWare describes its cloud this way.

04

Hybrid operation

A combination of locally installed software and cloud services, such as a local system with backup in the cloud.

05

Index data

Structured attributes of a document such as document number, supplier or date. They carry search, workflow and later migration.

06

Intelligent Document Processing

An umbrella term for the automatic classification and reading of documents using AI. Only a test with your own documents shows what exactly lies behind it.

07

CMIS

Content Management Interoperability Services, an open standard for accessing document stores. DocuWare uses it for the archive connection to SAP S/4HANA Public Cloud.

08

Utility analysis

Each alternative receives a score per criterion, which is multiplied by the weight defined in advance. The sum gives the utility value.

09

Data Act

Regulation (EU) 2023/2854, which among other things governs the switch between cloud and other data processing services.

Frequently asked questions about enaio and DocuWare

What is the most important difference in enaio vs DocuWare?

Both systems cover filing, search, workflow, permissions and archiving; differences show up in operating model, ERP integration and implementation partner. DocuWare describes itself as multi-tenant SaaS on Microsoft Azure with an on-premises and hybrid option, while AWP Consult runs enaio on your own servers or in hosting in Germany. Which difference matters to you is shown by a test with your own documents.

Is enaio or DocuWare better?

There is no blanket answer. Which system fits better depends on your business systems, your IT strategy, your file types and your processes. You make a sound decision with weighted criteria, identical test cases and comparably tailored offers.

Can AWP Consult implement DocuWare?

No. AWP Consult is a certified enaio partner and does not implement DocuWare. If the analysis finds that DocuWare is a better fit for your requirements, we say so openly. The implementation is then handled by a DocuWare partner of your choice.

Which system is suited to an SAP integration, enaio or DocuWare?

Both manufacturers name an SAP integration. DocuWare refers to an SAP-certified integration for S/4HANA and names SAP ECC 6.0 and S/4HANA as supported systems. AWP Consult connects enaio to SAP ECC and S/4HANA via RFC and BAPI. What matters is which scenarios should run over the interface, such as archiving, linking with the SAP record or invoice approval.

Which ECM system is suited to mid-sized companies?

For mid-sized companies, systems are suitable that start with a few processes and can later take on further departments, file types and interfaces. More important than the number of employees is how many business systems and locations are connected. More on this on the page about the ECM system for mid-sized companies.

Can DocuWare and enaio be used in the cloud?

Yes. According to the manufacturer, DocuWare offers a multi-tenant cloud on Microsoft Azure with data centres in Europe, the USA, Japan and Australia. AWP Consult runs enaio in cloud hosting in Germany. Compare the data location, data processing under Art. 28 GDPR, availability, contract term and the data export in the event of a later change.

What should I pay particular attention to in a DocuWare comparison?

Clarify four points: the operating model with data location, the integration with your ERP system, the scope of the workflow functions in your variant and the export of your data in the event of a later system change. Have all points demonstrated on your own documents. The same questions apply to enaio.

Which system is more economical, enaio or DocuWare?

That cannot be said in general terms. Cost-effectiveness depends on the number of users, the operating model, the integration effort, data migration and the term. Offers only become comparable when both are laid out to the same scope. For AWP Consult's customers, an enaio implementation pays for itself on average after 12 to 18 months, determined across more than 40 companies.

How long does the system evaluation take for enaio vs DocuWare?

In AWP Consult's experience, recording requirements takes about one to two weeks, the demonstration with your own documents two to three hours per system, and the comparison of offers about a week. In total, you should allow four to six weeks for a well-founded decision. The actual implementation of a first area typically takes 8 to 16 weeks.

How do I switch from DocuWare to enaio or vice versa?

A switch begins with an inventory: documents, index data, versions, logs, workflows and permissions. After that, the export format, the mapping of index fields and the migration of legacy data are planned. Tax-relevant data must remain accessible for the external audit even after the switch, in accordance with § 147 (6) AO. Workflows are usually set up anew in the new system.

We will show you how this looks with enaio at your organisation.
