Sales document management: digital customer files, quotes and orders
Sales document management brings together all of a customer's documents, from enquiry through quote and order to invoice, in a digital customer file that is connected to CRM and ERP and can also be accessed on the road in field sales.
AWP Consult implements this with enaio as a certified enaio partner. Your CRM remains the tool for contacts and sales opportunities, while enaio handles quotes, order confirmations, contracts and correspondence, manages approvals and stores everything in an audit-proof way with the right retention periods.

Key facts at a glance
- Sales document management is the structured, digital filing and control of all sales documents, i.e. enquiries, quotes, order confirmations, contracts, delivery documents, invoices and correspondence, in a customer file with metadata, versions, permissions and retention periods.
- A CRM system manages contacts, leads and sales opportunities. The document management system (DMS) keeps the related documents in an audit-proof way. The two are linked by the customer number, so nobody files anything twice.
- Under Section 257 of the German Commercial Code (HGB) and Section 147 of the German Fiscal Code (AO), business letters received and sent, such as quotes that led to an order and order confirmations, must be retained for six years, and outgoing invoices, as accounting vouchers, for eight years.
- Under Section 145 of the German Civil Code (BGB), anyone who makes an offer is bound by it unless they exclude this. If they set a deadline for acceptance, the customer can only accept within that deadline under Section 148 BGB. A follow-up reminder in the DMS makes this deadline visible.
- Contact details of contact persons are personal data. Under the General Data Protection Regulation (GDPR), processing them requires a legal basis, such as Art. 6(1)(b) for pre-contractual steps, and they may only be stored for as long as the purpose requires.
- AWP Consult introduces the digital customer file in enaio with filing from Outlook, integration with CRM and ERP, access via the enaio webclient and training for the sales team via the digital learning portal.

Sales document management ensures that every sales document is filed exactly once, with the right customer and transaction, in the valid version and with the appropriate permissions, that approvals and follow-up reminders run automatically, and that the sales back office, field sales and sales management always see the same complete customer history. This removes the need to search personal mailboxes, network drives and notebooks.
In many sales departments, the quote sits as a Word file on the drive, the customer's purchase order in a colleague's mailbox and the order confirmation in the ERP. The digital customer file in enaio brings these parts together, with structured lead management, the entire customer history and a fixed structure for correspondence, quotes and contracts. As a DMS solution, enaio is not limited to sales: purchasing, accounting and service work on the same platform.
Enquiries, quotes, orders, contracts, delivery documents, invoices and emails sit in one customer file, organised by transaction.
Quotes are versioned. You can trace who changed, approved and sent which version.
Quote validity periods, contract terms and follow-up dates appear as follow-up reminders in the work basket.
Territory managers see their customers, while conditions and margins remain tightly restricted.
In the sales analysis, we record how enquiries, quotes and orders are currently spread across mailbox, drive, CRM and ERP.

How do CRM, ERP and DMS work together in sales?
In sales, CRM, ERP and DMS work together with a clear division of tasks: the CRM manages contacts, leads and sales opportunities, the ERP manages customer master data, orders and invoices, and the DMS manages the documents, their versions, approvals and retention periods. The customer number links the three systems, so the matching customer file can be reached from each system.
Anyone looking for sales software thinks of the CRM first. However, the division of tasks determines whether the project succeeds: if you store quotes as attachments in the CRM, they are with the contact, but without versioning, without retention rules and without access for accounting and service. Conversely, if you try to maintain sales opportunities in the DMS, you end up rebuilding a worse CRM.
| Task | CRM | ERP | DMS (enaio) |
|---|---|---|---|
| Contacts, leads, sales opportunities | leading system | no | Link to the customer file |
| Customer master and customer number | imports or supplies | leading system | imports as metadata |
| Quotes and quote versions | Opportunity status and value | Quote data, if created there | Document, versions, approval |
| Orders and order confirmations | Closing the opportunity | leading system | Customer purchase order, confirmation, matching |
| Contracts and framework agreements | Note on the customer | Conditions | Contract file with deadlines |
| Emails and correspondence | Activities | no | audit-proof filing from Outlook |
| Retention and deletion | no | no | Periods under HGB, AO and GDPR |
Example allocation. We define which system manages which data together with sales, IT and accounting during the analysis.
How does a digital sales transaction run from enquiry to invoice?
A digital sales transaction runs in six steps: the enquiry is filed with the customer number, the quote is created and versioned, special conditions are approved, the purchase order is matched against the quote, delivery documents are added to the order, and the invoice is sent electronically to the customer. Every step ends up in the same transaction in the customer file.
01
Capture the enquiry
The enquiry arrives by email, form or phone. Emails are imported from Outlook into the customer file with sender, date and subject as metadata.
02
Create the quote
The quote is created in the ERP, in the CRM or in Word and is then stored in the transaction with versioning. The validity period is captured as metadata and generates a follow-up reminder.
03
Approve conditions
If the discount, payment terms or delivery time fall outside the policy, the quote goes to sales management before it is sent. The approval is logged with person and time, including on mobile devices.
04
Match the order
The customer's purchase order is assigned to the quote. The sales back office checks items, quantities and conditions and triggers the order confirmation in the ERP.
05
Document the delivery
Delivery note, proof of delivery and certificates are added to the order automatically, even when the warehouse or the forwarder generates them.
06
Send the invoice
The outgoing invoice is sent electronically to the customer, with the necessary attachments.
What does this path look like at your company? In a sales analysis, we record your current process and show which steps enaio can take over.
Book a sales analysisHow is a digital customer file in sales structured?
A digital customer file is organised by customer, transaction and document type: under each customer there are tabs for enquiries and quotes, orders, contracts, invoices, correspondence and complaints, and every document carries metadata such as customer number, transaction, document type and status, to which permissions, workflows and retention periods are linked.
Together with you, we develop tabs, document types and metadata for your customer file, aligned with your CRM and ERP.
Discuss the filing plan +49 6104 94738-1301
Customer file filing plan
The filing plan is the organising system of the customer file. It is based not on the organisation chart but on the life cycle of a customer relationship. A structure with a few, clearly defined tabs, under which the transactions sit, has proven effective. A transaction is, for example, an enquiry with all the quotes resulting from it, the order and the deliveries.
Clearly defined document types matter more than the number of tabs, because mandatory fields, workflows, permissions and deadlines are linked to them.
- Master data and contractsFramework contracts, pricing agreements, non-disclosure agreements, the customer's supplier self-disclosures
- Enquiries and quotesEnquiry, specification, quote versions, calculation bases
- Orders and deliveriesCustomer purchase order, order confirmation, delivery note, proof of delivery
- Invoices and correspondenceOutgoing invoices, credit notes, emails, visit reports, complaints
Start with ten to fifteen document types. Add what is missing in the pilot in a targeted way. Document types that are too fine-grained lead to incorrect assignments.
02
Quote management: versions, approvals and validity period
Quote management in the DMS means: every version of a quote is kept, only the approved version goes to the customer, and the deadline until which the quote is valid is monitored. Legally, this is not a detail. Under Section 145 of the German Civil Code (BGB), anyone who makes an offer is bound by it unless they have expressly excluded this, for example with "without obligation" (freibleibend). If the provider sets a deadline for acceptance, the customer can only accept within that deadline under Section 148 BGB.
If your ERP or CRM creates the quote, enaio imports the finished document with customer number and transaction. If it is created in Word, it is edited and saved directly in enaio, so no second copy is created on the drive.
- VersioningEditing with check-in and check-out. Older versions remain readable, the valid one is marked.
- Rule-based approvalIf the discount, payment terms or delivery time fall outside the defined limits, the quote goes to sales management before it is sent.
- Validity period as metadataThe field generates a follow-up reminder before the deadline expires, so you follow up in good time.
Define which conditions trigger an approval, and derive the limits from your sales policy, not from individual cases.
03
From order to outgoing invoice
With the customer's purchase order, the quote becomes an order. The sales back office checks whether the purchase order and quote match: items, quantities, conditions, delivery date and reference to the correct quote version. Discrepancies go as a task to the responsible sales representative.
For the outgoing invoice, e-invoicing comes into play. Under Section 14(1) of the German VAT Act (UStG), an e-invoice is an invoice in a structured electronic format. From 1 January 2027, companies with more than EUR 800,000 in domestic turnover in the previous year must issue e-invoices to other businesses, and from 1 January 2028 all companies must. Find out more on our page about e-invoicing.
- Order confirmation is created in the ERP and automatically imported into the transaction in the customer file
- DeliveryDelivery note and proof of delivery are added to the order, even if they come from the warehouse or forwarder
- Outgoing invoicesimpleflow from AWP Consult sends invoices and credit notes electronically and automatically attaches documents such as proofs of delivery or certificates
04
CRM integration and master data
CRM integration determines whether the sales team uses the customer file or bypasses it. The basic rule: every data item has exactly one leading system. Customer number, name and address come from ERP or CRM, enaio imports them as metadata and does not maintain them twice. If the address changes in the ERP, it changes in the file.
We describe what the integration looks like in detail under enaio interfaces and on the page about integrating Dynamics 365 and enaio.
- KeyThe customer number links CRM, ERP and customer file. Without a unique key, duplicates arise.
- Opening from the CRMFrom the customer or the sales opportunity, the matching file opens in enaio without searching again.
- Interface typesDepending on the system, via REST interface, file import with index data or the ERP integration, for SAP via RFC and BAPI
- ERP systemsSAP ECC and S/4HANA, Microsoft Dynamics 365, Business Central and NAV, proALPHA, Sage and others
Clean up customer duplicates before you start. Every duplicate in the master data later creates two half customer files.
05
Data protection in sales: contacts, prospects, deletion
Even in B2B sales, the names, email addresses and phone numbers of contact persons are personal data. Under Art. 6(1) of the General Data Protection Regulation (GDPR), processing them requires a legal basis, in sales usually point (b), where a contract or pre-contractual steps at the request of the data subject are concerned, or point (f), legitimate interests. Under Art. 5(1)(e) GDPR, data may only be stored for as long as the purpose requires.
We describe the principles in detail under GDPR-compliant document management.
- Prospects without an order get their own deletion rule, separate from customers with business letters subject to retention.
- Visit reports often contain personal notes. They belong in the file in objective wording, not in private notebooks.
- Permissions follow territory and role. Anyone who does not look after a customer does not see their conditions.
06
Electronic signatures for quotes and contracts
Most contracts between businesses are not subject to formal requirements and can be concluded by email or with a simple electronic signature. If the law or the contract requires written form, Section 126a of the German Civil Code (BGB) requires a qualified electronic signature for the electronic form. The eIDAS Regulation distinguishes between simple, advanced and qualified electronic signatures.
For the DMS, this means: the signed document is filed unalterably with its signature, and the contract is given its term, notice period and responsible persons in contract management. You can find out more about signature levels in the article on legally compliant e-signatures.
How does mobile field sales access customer files?
Mobile field sales accesses the customer file via the enaio webclient in the browser, on a notebook, tablet or smartphone, without local installation and with the same permissions and security as at the desk. This means quotes, contracts, deliveries and complaints can be accessed before the customer meeting, and approvals can be handled on the road.
Mobile field sales needs not so much the ability to simply view documents as the ability to act: approve conditions, return a quote for revision, file a visit report. The interface is designed for smartphones and tablets. Read more about use cases in the article on mobile DMS.

Which sales workflows can be mapped with enaio?
With enaio, you can map all sales workflows in which documents are checked, approved, forwarded or tracked: quote and conditions approval, contract review, order clarification, complaint handling, quote follow-up and changes to customer master data. Every workflow assigns tasks, monitors deadlines and logs decisions. We describe the basics on the page about workflow management.
Quote approval
Quotes with special conditions go to sales management before they are sent. Above defined limits, the four-eyes principle applies, and deputies step in automatically.
Contract review
Framework contracts and deviations from your terms and conditions go through sales, the legal department and management, with comments on the document.
Order clarification
If the purchase order deviates from the quote, a task is created for sales.
Complaint
Complaints are assigned to the order, distributed to quality and service and tracked with a deadline.
Follow-up
Before the validity period expires, the quote appears in the work basket of the responsible sales representative.
Change customer master
A customer's new billing address or bank details are captured with supporting evidence and passed to the ERP under the four-eyes principle.
Together with you, we derive approval limits for discounts, payment terms and delivery times from your sales policy and map them as a workflow in enaio.
How is the sales team trained and involved?
The sales team is best trained through short, role-based learning units that run alongside day-to-day business: the sales back office, field sales and sales management each learn the steps they actually need, and learning progress is documented in a traceable way. The digital learning portal from AWP Consult is suited to this, enabling further training and instruction without mandatory attendance.
In field sales in particular, classroom training often fails because of scheduling. Besides enaio operation, the learning portal is also suitable for product training and internal sales policies.
Each person sees their learning content and schedules it in their own calendar.
Multiple-choice questions show whether the content has been understood.
Questions to trainers are asked directly in the portal.
How long must sales documents be retained?
Sales documents are mostly business letters and must be retained for six years under Section 257(4) of the German Commercial Code (HGB) and Section 147(3) of the German Fiscal Code (AO), while outgoing invoices and credit notes, as accounting vouchers, must be kept for eight years. The period begins at the end of the calendar year in which the letter was received or sent or the voucher was created. Under Section 257(2) HGB, business letters are only documents that relate to a commercial transaction; the form does not matter, and an email can also be a business letter.
For tax purposes, under Section 147(3) of the German Fiscal Code (AO) the period also does not end as long as the documents are relevant for taxes whose assessment period is still running. You store the periods in enaio per document type, and the archive behind it meets the requirements for archiving software and for a GoBD-compliant DMS.
| Document | Classification | Period | Basis |
|---|---|---|---|
| Quote that led to an order | Copy of a sent business letter | 6 years | Section 257(1) no. 3 HGB, Section 147(1) no. 3 AO |
| Customer purchase order | received business letter | 6 years | Section 257(1) no. 2 HGB, Section 147(1) no. 2 AO |
| Order confirmation | Copy of a sent business letter | 6 years | Section 257 HGB, Section 147 AO |
| Business emails on quote and order | Commercial or business letter | 6 years | Section 257(2) HGB, Section 147 AO |
| Outgoing invoice, credit note | Accounting voucher | 8 years | Section 257(4) HGB, Section 147(3) AO |
| Sent delivery note that is not an accounting voucher | Delivery note | until the invoice is sent | Section 147(3) AO |
| Quote without order, prospect data | depending on link to a commercial transaction | define internal rule with tax adviser | Section 257(2) HGB, Art. 5(1)(e) GDPR |
Overview for practical use, not legal advice. Industry-specific and contractual periods apply in addition.
What are the most common mistakes companies make with sales documents?
The most common mistakes with sales documents are quotes as CRM attachments without an archive, personal Outlook folders used for filing, customer master data maintained twice, version chaos with quotes, overly open permissions on conditions and field sales being forgotten during the rollout. All six can be avoided at the concept stage.
Quotes only as attachments in the CRM
- Consequence
- No versioning, no retention rules, and accounting and service cannot see the documents.
- Better
- File documents in enaio and link them from the CRM. The CRM shows the status, the file shows the document.
Personal Outlook folders used for filing
- Consequence
- Commitments and agreements are lost with every staff change.
- Better
- File emails with metadata in the customer file; a customer or transaction number in the subject line makes assignment easier.
Customer master maintained twice
- Consequence
- Duplicates and differing addresses lead to two half files and wrongly assigned documents.
- Better
- Define one leading system for customer master data and use the customer number as the key.
Quote versions as file names
- Consequence
- Files such as "Quote_final_new" lead to an outdated version ending up with the customer.
- Better
- Versioning with check-in and check-out; only the approved version is marked as ready to send.
Everyone sees all conditions
- Consequence
- Margins and special conditions are visible to everyone, and data protection and confidentiality suffer.
- Better
- Permissions by territory and role, calculations and conditions in tightly restricted document types.
Field sales not planned for
- Consequence
- Field sales continues to work with printouts and local copies, and the file remains incomplete.
- Better
- Design access via the webclient and mobile approvals from the outset and test them in the pilot with field sales.

Book an initial call +49 6104 94738-13How do you introduce sales document management?
Sales document management is introduced in five phases: analysis of current document paths, concept with filing plan, permissions and interfaces, pilot with one sales team including field sales, rollout with training, and optimisation based on real usage.
01
Analysis
We record where enquiries, quotes, orders and emails are today, which systems are involved and where time is lost.
02
Concept
Filing plan, document types, metadata, permissions, approval rules, retention periods and the interfaces to CRM and ERP are defined.
03
Pilot
One sales team with inside and field sales starts. Filing, workflows and mobile access are tested with real transactions.
04
Rollout
Further teams and territories follow. Key users and users are trained, including via the digital learning portal.
05
Optimisation
After go-live, we evaluate usage, approval lead times and open follow-up reminders and refine the rules.

Book a sales analysis +49 6104 94738-13What is sales document management?
Sales document management is the digital filing and control of all sales documents in a customer file. Enquiries, quotes, order confirmations, contracts, delivery documents, invoices and emails are organised by transaction, with versions, permissions and deadlines. Approvals and follow-up reminders run as workflows. The sales back office, field sales and sales management see the same customer history.
Does sales document management replace a CRM system?
No. The CRM remains the system for contacts, leads, activities and sales opportunities. The DMS handles the documents with versioning, approvals, audit-proof filing and retention periods. The two are linked by the customer number, so the matching customer file opens from the CRM.
Which sales documents belong in the digital customer file?
Everything that documents a customer relationship: enquiries, quotes and their versions, purchase orders, order confirmations, framework contracts, delivery notes, proofs of delivery, outgoing invoices, credit notes, complaints, visit reports and business email correspondence. Internal calculations sit in a tightly restricted document type.
How does CRM integration with enaio work?
CRM integration links the CRM and enaio via the customer number. Master data comes from the leading system and is imported into enaio as metadata. The matching file opens from the customer or the sales opportunity in the CRM. Technically, depending on the system, the integration uses a REST interface, a file import with index data or the ERP.
Can field sales access customer files on the road?
Yes. Via the enaio webclient, field sales accesses files in the browser on a notebook, tablet or smartphone, without local installation and with the same permissions as at the desk. Quotes, contracts and complaints can be accessed before the meeting. Approvals and queries can be handled on the road and are logged.
How long must quotes and order confirmations be retained?
Quotes that led to an order, purchase orders and order confirmations are business letters and must be retained for six years under Section 257 of the German Commercial Code (HGB) and Section 147 of the German Fiscal Code (AO). Outgoing invoices are accounting vouchers with an eight-year period. The periods begin at the end of the calendar year in which the document was received, sent or created. For quotes without an order, define an internal rule with your tax adviser.
How can emails from Outlook be transferred to the customer file?
Emails and attachments are transferred directly from Outlook into the matching customer file. Sender, date and subject are imported as metadata and supplemented where necessary. Rule-based archiving from Exchange is also possible. A customer or transaction number in the subject line makes automatic assignment easier.
How do you prevent the wrong quote version from going to the customer?
Through versioning in the DMS instead of versions in the file name. Editing uses check-in and check-out, and every version is kept. Only the approved version is marked as ready to send. Quotes with special conditions go through an approval before they are sent.
May prospect data be stored indefinitely?
No. Contact details of contact persons are personal data, and under Art. 5(1)(e) of the General Data Protection Regulation (GDPR) they may only be stored for as long as the purpose requires. Prospects without an order should therefore have their own deletion rule, separate from customers with business letters subject to retention. enaio can store such rules per document type.
Can customers exchange documents without using enaio?
Yes. Via the AWP link and upload portal, you share documents via link and password with an expiry period, and customers upload documents that arrive directly in the customer file. Customers and partners do not need an enaio licence for this.
When does a DMS in sales pay off?
For AWP Consult customers, an enaio implementation pays for itself after 12 to 18 months on average, determined across more than 40 companies. In sales, the main effects are less time spent searching, faster approvals and timely follow-up on quotes. In the analysis, we measure your current processes beforehand.
Which technical terms matter in sales document management?
Terms that come up again and again in projects between sales, IT and accounting.
01
Customer file
Digital file containing all documents relating to a customer, organised by tabs and transactions.
02
Transaction
Container for related documents, such as the enquiry, quote versions, order and deliveries of one deal.
03
Document type
Classification of a document, such as quote or order confirmation. Mandatory fields, workflows, permissions and deadlines are linked to it.
04
CRM
Customer relationship management: system for maintaining contacts, leads, activities and sales opportunities.
05
Business letter
Document relating to a commercial transaction, regardless of form under Section 257(2) of the German Commercial Code (HGB), i.e. also as an email.
06
Validity period
Period during which a quote can be accepted. Under Section 148 of the German Civil Code (BGB), acceptance is only possible within a set deadline.
07
Versioning
Storage of every version of a document with editor and time. The valid version is marked.
08
Check-in and check-out
Locking mechanism during editing: whoever checks out a document edits it exclusively, and checking it in creates a new version.
09
