Document management solutions: all enaio solutions at a glance

AWP Consult's document management solutions combine an audit-proof archive, workflows and digital files for accounting, HR, purchasing, quality, buildings, sales and fleet on one shared enaio platform, instead of giving each department its own isolated solution.

This overview organises all solutions by department, explains the shared building blocks and shows the order in which a DMS for companies can sensibly be expanded. As a certified enaio partner, AWP Consult has implemented every solution in the DACH region since 2006, from consulting to support.

Key facts at a glance

  • A DMS solution is an application of a document management system tailored to a specific business process: it stores documents in digital files, controls processing and approval via workflows and archives everything in an audit-proof manner.
  • At AWP Consult, all solutions on this page, from the invoice approval workflow and the digital personnel file to the fleet, run on the same enaio platform and share the archive, rights concept, search and interfaces.
  • Under Section 147 of the German Fiscal Code (AO), tax-relevant documents must be retained for ten, eight or six years, and accounting vouchers generally for eight years. An ECM platform monitors these periods for all departments according to the same rules.
  • Since 1 January 2025, companies based in Germany must be able to receive e-invoices. Under the German GoBD (principles for proper electronic bookkeeping) as amended on 14 July 2025, it is sufficient to retain the structured XML file, provided an accompanying PDF contains no additional tax-relevant information.
  • The most cost-effective entry point is usually a process with a high document volume, such as incoming invoices. Other departments then use the same platform.
  • Since 2006, AWP Consult has completed more than 250 projects and supports more than 150 reference customers in the DACH region. On average, the implementation pays for itself after 12 to 18 months, based on data from more than 40 companies.

Which DMS solutions does AWP Consult offer for which department?

AWP Consult offers DMS solutions for incoming invoices and invoice verification, accounting, contract management, personnel files, payslip and learning portals, project files, workflow management, quality management, facility management, sales, fleet, audit-proof archiving and artificial intelligence, each as an application on the same enaio platform with a shared archive and rights concept.

All solutions on one platform AI for capture and search Finance Invoices Checks Accounting HR Personnel file Payslip portal Learning portal Organisation Contracts Project file Workflows Quality Operations Buildings Fleet Sales Audit-proof archive Rights Search Deadlines Interfaces

Invoice approval workflow

Incoming invoices move from the mailroom through capture, factual and arithmetical checking and approval to posting in SAP, DATEV or Dynamics 365. Including XRechnung and ZUGFeRD.

Invoice approval workflow

Invoice verification with AI

enaio classify extracts the supplier, amounts and tax rates and checks them against master data, purchase order and goods receipt. Mandatory details under Section 14(4) of the German VAT Act (UStG) are checked, and enaio kairos learns from every correction.

Automated invoice processing

Accounting

The digital accounting department keeps track of payment, discount, dunning and blocking deadlines. Documents in PDF, XML, EDIFACT or ZUGFeRD format are automatically provided to the ERP or financial accounting system.

Accounting

Contract management

Every contract is held in a digital contract file with term, notice period and responsible persons. Deadline alerts arrive in good time, and approvals run via workflows.

Contract management

Digital personnel file

Sections, document types, role-based rights and deletion periods for all documents from application to after departure. Health data is kept separately.

Digital personnel file

Digital project file

Quote, contract, plans, minutes, photos and correspondence of a project in one file. External partners exchange documents via the AWP Link and Upload Portal without their own enaio licence.

Digital project file

Digital payslip portal

Employees access payslips and income tax certificates in a personal portal area and are notified by email as soon as a new document is available.

Digital payslip portal

Digital learning portal

Training and instruction without mandatory attendance: learners schedule content in their personal calendar, answer multiple-choice questions to check their progress and clarify questions directly with the trainers.

Digital learning portal

Workflow management

Documents move automatically to the next step, either as a flexible ad hoc workflow or strictly rule-based. Every step is logged, for example for requests or complaints.

Workflow management

Quality management

QM manuals, templates and process descriptions are held in electronic files. Workflows route quality assurance processes, and acknowledgements are logged.

Quality management

Facility management

The digital building file brings together plans, technical details, service providers and invoices. Maintenance and inspection deadlines, for example for lifts, are monitored. Interfaces exist to GEBman and San_Reno, among others.

Facility management

Sales

The digital customer file shows the entire customer history with correspondence, quotes and contracts and supports structured lead management.

Sales software

Fleet

Maintenance and TÜV inspection dates, damage reports, vehicle documents and driving licence checks per vehicle, from company cars to HGV fleets. Drivers and suppliers receive restricted external access where needed.

Fleet management

Audit-proof archiving

The foundation of every solution: documents are stored in an unalterable, complete and searchable form and remain available throughout the entire retention period.

Archiving software

Artificial intelligence

enaio kairos classifies incoming documents and recognises index data with confidence values. The AWP document analysis fills index fields using language models, and the AWP search finds documents via questions in everyday language.

Which DMS solution suits your department?

We look at your departments, document volumes and systems and recommend which solution you should start with on the enaio platform.

Why an ECM platform instead of separate DMS silo solutions?

An ECM platform makes more sense than separate DMS silo solutions because the archive, rights concept, retention rules, search and interfaces are built and maintained only once, and every additional department builds on them instead of introducing its own system with its own storage, its own users and its own ERP connection.

An example from facility management: the framework agreement with a maintenance service provider is held in contract management, the related invoices pass through the invoice approval workflow, and the inspection reports belong in the building file. On one platform, these three files are linked with each other.

Which department comes first and how the platform should grow is something we clarify in an enterprise content management consultation.

Build once, use everywhere Silo solutions One platform Contracts own archive Invoices own archive Buildings own archive ERP own rights, storage and connection per system Contracts Invoices Buildings Archive, rights, search ERP, connected once

One archive for all departments, with the same rules for immutability, versioning and retention periods.

One rights concept with roles down to individual document types. HR files and sales share the platform, not the data.

One search across files, emails and documents, in the client, in the browser via the enaio webclient and in Microsoft Office and Outlook.

One workflow engine for approvals, follow-up reminders and escalations in every department.

Connected once, SAP, DATEV, Dynamics 365 and other systems supply their master data to all solutions on the platform.

One point of contact for implementation, training, support and updates, instead of one service provider per department.

Which files, deadlines and rules do DMS solutions manage per department?

DMS solutions manage a dedicated file with its own deadlines for each department: documents with tax retention periods in accounting, personnel files with inspection rights and deletion periods, contract files with notice periods, and building and vehicle files with inspection and maintenance dates.

Every file comes with its own deadlines Finance Discount HR Deletion period Contracts Notice Buildings Inspection Fleet TÜV Automatic reminder before the deadline expires
Department Typical file and contents Deadlines and rules Solution
Accounting Incoming invoices, credit notes, payment records Discount and payment deadlines, mandatory details under Section 14(4) of the German VAT Act (UStG), retention under Section 147 of the German Fiscal Code (AO) Invoice approval workflow
HR Personnel file with sections, payslips, training records Employee inspection right under Section 83 of the German Works Constitution Act (BetrVG), pay statement in text form under Section 108 of the German Trade Regulation Act (GewO), deletion periods per document type digital personnel file, digital payslip portal
Purchasing and contracts Contract file with amendments and correspondence Notice and renewal periods, approval before signature Contract management
Quality QM manual, procedural instructions, templates Approval of new versions, logged acknowledgement Quality management
Buildings Building file with plans, technical systems and service providers Maintenance and inspection deadlines, for example for lift systems Facility management
Fleet Vehicle file with documents, damage and appointments TÜV and maintenance dates, driving licence checks, because vehicle keepers are liable under Section 21(1) no. 2 of the German Road Traffic Act (StVG) Fleet
Training Courses, safety instructions, attendance records Instruction under Section 12 of the German Occupational Safety and Health Act (ArbSchG) on hiring, when changes occur and at regular intervals digital learning portal
Sales Customer file with quotes, contracts and correspondence Retention of commercial and business letters under Section 147 of the German Fiscal Code (AO) Sales

Not legal advice. You define the deadlines per document type with your tax adviser, data protection officer and departments, and the system then monitors them automatically.

Which building blocks are part of every AWP Consult DMS solution?

Every AWP Consult DMS solution consists of six shared building blocks: audit-proof archive, digital files with metadata, workflow management, rights and data protection, capture with AI, and interfaces and portals. What distinguishes a personnel file from a building file is the configuration of these building blocks, not a different system.

Six building blocks beneath every solution 05 Capture and AI 04 Rights and data protection 03 Workflow management 02 Files and metadata 01 Audit-proof archive 06 Interfaces and portals Same building blocks, different configuration per department
01

Audit-proof archiving under the German GoBD

Audit-proof means that from the moment of archiving, a document remains unaltered, complete, retrievable and traceable, and every change to metadata is versioned. The German GoBD (principles for the proper keeping and retention of books, records and documents in electronic form and for data access) require this for all tax-relevant documents, regardless of which department they come from.

Because all solutions use the same archive, these rules automatically apply to contracts, HR documents or building plans as well. More on this: GoBD-compliant DMS.

  • Periods under Section 147 AO (German Fiscal Code): ten years for books, annual financial statements and work instructions, eight years for accounting vouchers, six years for commercial and business letters and other tax-relevant documents.
  • Image reproduction is permitted under Section 147(2) of the German Fiscal Code (AO) if it matches the original and remains available, legible and machine-evaluable at all times during the retention period.
  • E-invoices in the structured format received. Under the German GoBD (principles for proper electronic bookkeeping) as amended on 14 July 2025, the XML file is sufficient if the PDF contains no additional tax-relevant information.
Practical tip

Clarify early on which document types are tax-relevant. The retention period depends on the document type, not on the department the document comes from.

02

Digital files, file plan and metadata

The digital file brings together everything relating to one object, such as an employee, a contract, a building, a vehicle or a customer. A file plan defines which files exist, how they are divided into sections and which document types belong in them.

The rules are attached to the document type: metadata fields, rights class, retention period and responsible workflow. You then search by supplier, contract end date or licence plate instead of by folder path.

Why metadata matters more than folders is explained in the article Metadata in the DMS.

  • Personnel filePersonnel number, organisational unit, start and leaving date
  • Contract fileContract partner, term, notice period, responsible persons
  • Building fileProperty, installation, service provider, inspection deadlines
  • Vehicle fileLicence plate, vehicle documents, maintenance and TÜV dates
Practical tip

Do not copy the folder structure from the network drive. A few clearly defined document types with mandatory fields achieve more than deep folder trees.

03

Workflow management: ad hoc or rule-based

There are two types of workflow in enaio: the ad hoc workflow is started spontaneously, for example when a colleague passes on a letter for comment. The rule-based workflow follows a fixed process model with conditions, amount limits, deputies and escalations.

Which variant fits depends on the risk. Invoice approvals, contract approvals and master data changes belong in fixed rules, because an internal control system requires traceable and logged controls.

Examples and areas of application are shown on the Workflow management page.

  • Approvals by amount, cost centre or contract type
  • Follow-up reminders for notice, inspection and deletion deadlines
  • Deputy rules and escalation to the next level
  • Log with person, time and decision
Practical tip

Model the target process first. A workflow that replicates today's paper circulation one to one only becomes faster, not better.

04

Rights, data protection and deletion concept

Roles can be broken down to individual document types: accounting sees invoices, but no personnel files.

The General Data Protection Regulation (GDPR) requires storage limitation under Article 5(1)(e), data protection by design and by default under Article 25 and appropriate technical and organisational measures under Article 32. In the DMS, this means deletion periods per document type, logging of access, encryption and an archived deletion record.

Statutory retention obligations take precedence over deletion, as set out in Article 17(3)(b) GDPR. The deletion concept must combine both. In detail: Document management under the GDPR and Deletion concept in the DMS.

Practical tip

Develop the rights concept with the departments, data protection and, where one exists, the works council (Betriebsrat) before the first solution goes live. Later solutions then adopt it.

05

Capture, classification and AI

enaio capture handles scanning, text recognition and indexing, and enaio classify extracts data from invoices and other documents. The AI module enaio kairos classifies incoming documents using pre-trained models, recognises document classes and index data independently and can be retrained on a project-specific basis with your own data.

enaio kairos provides confidence values for recognised data. Below a defined threshold, the document is routed specifically to manual review. In addition, AWP Consult offers a document analysis that fills index fields using common language models such as Copilot or OpenAI, a natural language search and AI-supported freight invoice capture with matching against the transport management system.

If paper originals are to be destroyed after scanning, the technical guideline TR-RESISCAN (BSI TR-03138) of the German Federal Office for Information Security describes a regulated procedure, see replacement scanning. See also automated document processing.

Practical tip

Set thresholds per field, not per document. An uncertain document date is less critical than an uncertain IBAN.

06

Interfaces, Office and portals

enaio is connected to SAP ECC and S/4HANA via RFC and BAPI, and also to DATEV, Microsoft Dynamics 365, Business Central and NAV, proALPHA, Sage, Diamant Software, eGECKO and Unit4.

For employees and external parties without enaio access, there are portals: the digital payslip portal for pay statements, the digital learning portal for training and the AWP Link and Upload Portal for exchange with partners.

How the connection works in detail is described on the enaio interfaces page.

Practical tip

Define a leading system for each master data item. Suppliers or personnel numbers maintained in two places are the most frequent source of errors in integration projects.

Do you have a specific question about your case?

Build the platform once, add solutions step by step

Together with you, we plan the archive, file plan, rights concept and interfaces so that every additional department can build on them.

In what order do companies introduce document management solutions?

Companies should introduce DMS solutions in the order that brings the most benefit at a manageable risk: first the archive and incoming mail, then a high-volume process such as incoming invoices, then contracts and personnel files and finally further departments, portals and AI. Each stage uses what the previous one has built.

Expand stage by stage 1 Archive and incoming mail 2 Incoming invoices 3 Contracts 4 HR 5 Further departments 6 Portals and AI
01

Archive and incoming mail

The audit-proof archive, file plan, rights concept and digital mailroom form the foundation. From this point on, every new document is captured digitally.

02

Incoming invoices

With its high volume, discounts and short processing times, the invoice approval workflow quickly delivers measurable benefits and builds the ERP interface.

03

Contracts

Contract management uses the same supplier and customer master data and links contracts to the related invoices.

04

HR

The digital personnel file is added with its own narrowly defined rights area, ideally together with the payslip portal and learning portal.

05

Further departments

Quality management, facility management, fleet, sales and project files follow as required, using existing building blocks instead of new systems.

06

Portals and AI

AI classification, natural language search and portals for external parties extend the platform as soon as the data basis and processes are stable.

Which stage comes first for you depends on volume, deadlines and bottlenecks. In a solutions consultation, we define the order together.

What are the most common mistakes when choosing DMS solutions?

The most common mistakes when choosing DMS solutions are silo solutions per department, a copied folder structure, a rights concept developed too late, workflows without process analysis, underestimated interfaces and missing key users. None of them is a software problem, and all of them can be avoided in the concept phase.

Typical mistake Consequence Better approach
Each department buys its own system Several archives, duplicate master data, multiple rights concepts and service providers. Cross-departmental processes fall apart. Define one platform with shared building blocks and build solutions on it step by step.
Network drive copied one to one Deep folder trees without document types, no automatic deadlines, searching remains tedious. Develop a file plan with document types and mandatory metadata and migrate legacy data selectively.
Rights concept only at go-live Rights that are too broad and rework after objections from data protection or the works council. Agree roles and rights classes before the first solution, and later solutions adopt them.
Workflow without process analysis The paper circulation is recreated digitally, and processing times barely fall. Define the target process, remove unnecessary steps, set rules and exceptions.
Interfaces underestimated Master data is maintained twice, postings are transferred manually. Define a leading system per master data item and test interfaces early with real data.
No key users appointed Every question ends up with the service provider, and acceptance and rule maintenance suffer. Appoint key users per department and train them specifically, make administrators self-sufficient.

Not sure where to start? We will assess your starting point.

How do you recognise the right DMS solution for your company?

You can recognise the right DMS solution by the fact that it maps your business processes, demonstrably meets the legal requirements and fits technically into your system landscape. This checklist helps with selection and the requirements profile, for the first solution as well as for expansion. For the project itself, there is a separate DMS implementation checklist.

Functional

  • The key processes are described with volumes and participants
  • Files, sections and document types are defined per department
  • Approval rules, deputies and escalations are defined
  • The system monitors deadlines such as discounts, notice periods or inspection dates
  • Approval in the browser and on the go is possible

Legal

  • Audit-proof archiving under the German GoBD (principles for proper electronic bookkeeping) with procedural documentation
  • Retention periods under Section 147 of the German Fiscal Code (AO) stored per document type
  • E-invoices are archived in the structured format
  • Role-based rights, logging and deletion concept under the GDPR
  • Data processing agreement under Article 28 GDPR for cloud operation

Technical

  • Interfaces to ERP, financial accounting, payroll and specialist systems are clarified
  • Integration with Microsoft Office and Outlook
  • Operation in your own data centre or in the cloud is possible
  • Expandable to further departments without a new system
  • Support, updates and training from a single source

What is the difference between DMS, ECM and workflow solutions?

A DMS solution manages documents with storage, versions, search and archive. Enterprise content management solutions extend this to all business-relevant content, files and processes across departmental boundaries, and workflow solutions control who completes which step by when. In practice, the terms overlap, because platforms such as enaio cover all three levels.

DMS, workflow and ECM working together ECM all content, all departments DMS Documents and versions Metadata and search Archive Workflow Tasks Deadlines Log Emails Files Portals Interfaces enaio covers all three levels
Criterion DMS ECM Workflow solution
Key question Where is the document, and which version is valid? How is all content managed across its life cycle? Who completes which step by when?
Scope Documents, versions, metadata, full-text search Documents, emails, files, archive, workflows, portals, interfaces Tasks, rules, deadlines, escalations, log
Typical use Storage in one department Company-wide platform for several departments Approvals, requests, invoice verification, complaints
Archiving as a module or separate system integral, audit-proof component uses the platform's archive
Example at AWP Consult Customer file in sales enaio with incoming invoices, personnel file and contract management Workflow management for requests and orders

The boundaries are fluid. What matters is not the label, but whether archive, files and workflows work together.

What is a DMS solution?

A DMS solution is an application of a document management system tailored to a specific business process, for example incoming invoices, contracts or personnel files. It combines digital files, workflows and audit-proof archiving. At AWP Consult, all solutions run on the shared enaio platform. As a result, they use the same archive, the same rights and the same interfaces.

Which DMS solution supports compliant archiving under the GoBD (German bookkeeping rules) and the GDPR?

A suitable DMS solution archives documents in an unalterable form, versions changes, logs access and monitors retention periods under Section 147 of the German Fiscal Code (AO) per document type. For the GDPR, it also needs role-based rights, deletion periods with deletion records and fast responses to access requests. enaio meets these requirements if configuration and procedural documentation are correct. AWP Consult develops both together with you.

What is the difference between DMS and ECM?

A DMS manages documents with storage, versions, search and archive. ECM stands for enterprise content management and covers all business-relevant content, including emails, files, workflows, portals and interfaces across departmental boundaries. Platforms such as enaio cover both.

Which ECM system is suitable for medium-sized companies?

For medium-sized companies, a suitable ECM system is one that can start small and grow without a system change, can be connected to existing ERP and payroll systems and runs in your own data centre or in the cloud. enaio meets these criteria and has been implemented by AWP Consult in the DACH region since 2006.

Which DMS is suitable for companies in the DACH region?

For companies in Germany, Austria and Switzerland, a DMS should map the respective retention rules, support the GDPR and be supported by a partner in the region. AWP Consult has been a certified enaio partner in the DACH region since 2006 and supports more than 150 reference customers. We configure the deadlines per document type and country.

Can a DMS solution control approvals automatically based on the amount?

Yes. In the rule-based workflow, you define amount limits above which a second approval level or the four-eyes principle applies. The AI reads the amount, supplier and purchase order reference from the invoice, and the workflow starts the appropriate approval route. Deputies and escalations are also defined.

Which DMS solution should a company start with?

Usually with the archive and digital mailroom and a high-volume process such as the invoice approval workflow. This quickly delivers measurable benefits through shorter processing times and discounts taken, and the ERP interface is then available to all further solutions. We define the right order in the consultation.

Can the enaio solutions be connected to SAP, DATEV and Microsoft Dynamics?

Yes. enaio is connected to SAP ECC and S/4HANA via RFC and BAPI, to DATEV and to Microsoft Dynamics 365, Business Central and NAV. proALPHA, Sage, Diamant Software, eGECKO and Unit4 are also possible. The connection is set up once and is then available to all solutions on the platform.

Which solutions support GDPR deletion periods automatically?

In enaio, a retention and deletion rule is attached to every document type. When the period expires, the system proposes deletion, documents it and archives the deletion record. Statutory retention obligations take precedence, as Article 17(3)(b) of the GDPR expressly provides.

Can enaio be operated in the cloud?

Yes. enaio runs either in your own data centre or in the enaio Cloud, which AWP Consult operates exclusively in German data centres. For cloud operation, a data processing agreement under Article 28 GDPR is concluded. More on this under Cloud or on-premises.
