enaio in logistics: one platform for forwarding, warehousing and transport

enaio in logistics means using the ECM platform enaio as a shared foundation for forwarding, warehouse logistics, contract logistics and transport: one system for files, capture, workflows and archiving, connected to TMS, WMS and ERP and expandable in stages.

AWP Consult has been implementing enaio as a certified enaio partner since 2006 for logistics companies in the DACH region, from less-than-truckload (LTL) forwarders to contract logistics providers with several sites. This page shows the overall setup of enaio for logistics, forwarding and transport: which areas are covered, which modules belong to it and in what order the rollout succeeds.

Key points at a glance

  • enaio in logistics is the use of enaio as a shared platform for all document-heavy areas of a logistics company, instead of separate point solutions for forwarding, warehousing, accounting and HR.
  • The basis is a shared data model of customer, order, shipment, vehicle, person and contract. Each document is filed once and linked to all files it belongs to.
  • The transport management, warehouse management and ERP systems remain the leading systems for their data. enaio handles capture, assignment, workflows, deadlines and audit-proof filing and is called up from within these systems.
  • The retention periods under § 147 Abgabenordnung (AO) differ by document type: ten years for books and customs documents, eight years for accounting records such as freight invoices and credit notes, six years for commercial and business correspondence.
  • A proven starting point is incoming invoices or the forwarding file. Warehousing, contract logistics, fleet, HR and contracts follow as further expansion stages on the same platform.
  • For AWP Consult customers the implementation pays for itself on average after 12 to 18 months, measured across more than 40 companies.

We will show you how this looks with enaio in your organisation.

What does enaio in logistics mean?

enaio in logistics means that a logistics company manages its documents, files and approval processes from forwarding, warehousing, transport, accounting and administration in a single ECM platform that is connected to the specialist systems and receives its own file types, permissions and workflows for each area. So it is about the overall setup, not a single file.

We describe individual building blocks on their own pages, such as the digital forwarding file per order, the incoming invoice workflow for freight invoices and the industry-neutral overview of the DMS for logistics. Here the focus is on how these building blocks fit together in enaio.

One document, several files Delivery note filed once Shipment from the TMS Goods receipt from the WMS Customer from the ERP one data model

Industry solution for logistics

enaio is a general ECM platform. It becomes an industry solution for logistics through the file types, document types, assignment rules and interfaces that AWP Consult configures for forwarding, warehousing and transport.

One data model for all areas

Customer, order, shipment, vehicle, person and contract are objects in enaio. A delivery note can belong to the shipment, the goods receipt and the customer at the same time, without being copied.

Modules as needed

Capture, AI classification, workflow, browser access and archiving are separate modules. You license and configure what your expansion stage needs and add more later.

One system for all sites

Branches, warehouses and head office work in the same system. Permissions follow site, area and client, and workflows run across sites.

Look at your logistics as a whole for once

We record which areas today work with paper, network drives or point solutions, and outline how enaio connects these areas on one platform.

In which areas of logistics is enaio used?

In logistics, enaio is used in forwarding and transport, in the LTL network, in warehouse logistics, in contract logistics, in customs, in the fleet, in accounting and in HR and purchasing, with each area having its own lead file and its specialist system remaining the leading system. The table shows typical files, the respective leading system and where we go into the topic in more depth.

What must enaio in logistics cover beyond forwarding?

Beyond forwarding, enaio in logistics must cover a cross-area data model, warehouse logistics with depositors and goods receipts, contract logistics with separated clients, fleet and driver records, operation across several sites and a clean interface landscape. The following sections show what matters here from a professional point of view. They do not replace legal advice.

01

One data model instead of many filing systems

In many logistics operations each department has its own filing, and the same information is stored several times. In enaio the setup therefore begins with the data model. It defines which objects exist, which attributes they carry and which specialist system supplies these attributes. A document is stored once and visible through links in all files it belongs to. A logistics file per customer can thus show all forwarding files, warehouse files and contracts of that customer without copying them.

  • CustomerMaster data from ERP or TMS, contracts, correspondence and references to all orders
  • Order and shipmentForwarding file with sub-files, keys from the TMS
  • Goods receipt and depositorWarehouse file with keys from the WMS
  • Vehicle and personVehicle file and personnel file with their own permissions
Practical tip

Define exactly one leading system for each object. If a customer number is maintained differently in the TMS and the ERP, the data model decides which one applies.

02

Warehouse logistics: depositors, goods receipt and stocktaking

In the warehousing business, the storage contract under § 467 Handelsgesetzbuch (HGB) obliges the warehouse keeper to store and safekeep the goods, and the depositor to pay the agreed remuneration. For the document structure this means: in the warehouse the leading unit is not the individual transport but the relationship with the depositor and the individual goods movement.

In enaio, therefore, a file is created for each depositor with the contract, warehouse regulations and contacts, including cases per goods receipt and goods issue. Delivery notes, advice notes, discrepancy reports, photos and complaints are assigned via the goods receipt or advice number from the WMS. Stocktaking documents are attached to the depositor and the reporting date.

  • Goods receiptDelivery note, advice note, discrepancies and photos on the case from the WMS
  • ComplaintWorkflow with deadline and responsibility, documents from goods receipt linked
  • StocktakingCount lists and records per depositor and reporting date
Practical tip

Ask early which number your WMS assigns at goods receipt and whether it is printed on labels and accompanying papers. This determines how many warehouse documents are assigned without manual work.

03

Contract logistics: keep clients cleanly separated

In contract logistics, a service provider often takes over entire process chains for a client, from warehousing and kitting through to shipping and returns. In document management, the separation of clients is therefore paramount. Staff who work for customer A should not see contracts, service descriptions or performance reports of customer B.

If the service provider processes personal data on behalf of the client, such as recipient addresses in shipping or returns with customer data, it must be checked whether this constitutes processing on behalf under Art. 28 General Data Protection Regulation (GDPR). In that case it processes data only on documented instructions, secures it under Art. 32 GDPR and deletes or hands it over after the end of the service at the client's choice, unless there is a storage obligation.

  • Client separationPermissions per client, even on shared warehouse space
  • Contract fileFramework agreement, service description, process documentation and changes with versions
  • End of contractReturn or deletion per client as a planned process with a log
Practical tip

Represent the client as a mandatory attribute of every file. Permissions, evaluations and a later return then depend on a single field.

04

Transport logistics: fleet, tachograph and driver records

Own vehicles and drivers generate documents that do not belong to the order. Under § 2 para. 5 Fahrpersonalverordnung (FPersV), the operator must copy the data from the mass memory of the digital tachograph within 90 days and the data of the driver cards within 28 calendar days of an event being recorded, immediately make backup copies of the copied data on a separate data medium and make them available to the authorities on request.

Evaluating driving and rest times remains the job of the specialist software. However, enaio can bring together records, logs and printouts in vehicle and driver files and manage deadlines as follow-up reminders. Dangerous goods drivers need a training certificate under subsection 8.2.2.8 ADR, which is valid for five years and must be refreshed before it expires. Such records belong in the digital personnel file, not in the forwarding file.

Practical tip

Keep vehicle, driver and order strictly separate. A follow-up reminder for the ADR certificate belongs to the person, an inspection deadline to the vehicle, a proof of delivery to the order.

05

Several sites, one system

Branches, transshipment warehouses and head office need the same status, otherwise customer service searches for a proof of delivery that was scanned at the depot long ago. In enaio all sites work in the same system: documents are captured where they arise, workflows run across sites, and permissions follow site, area and client.

There are two ways to operate it. enaio runs in your own data centre or as a cloud solution in a German data centre. Branches without their own server access it in the browser via the enaio webclient. Which option fits depends on IT strategy, the bandwidth of the sites and existing systems.

  • On-site captureScanning at the depot, driver app, upload by partners
  • Central rulesDocument types, deadlines and workflows defined once, valid everywhere
  • Permissions per site each branch sees its own cases, head office sees all
Practical tip

Name a key user for each site. They know the local document paths and are the first point of contact when an assignment does not work.

06

Interfaces: TMS, WMS, ERP and telematics

The interfaces determine the benefit of enaio in logistics. The TMS supplies orders, shipments and statuses, the WMS goods receipts, depositors and articles, the ERP or financial accounting supplies accounts payable, accounts receivable and postings. Telematics, driver apps and eCMR platforms supply records as a file or data record.

Depending on the system, the connection is made via programming interfaces, web services, file exchange or database access. For ERP systems such as SAP ECC and S/4HANA via RFC and BAPI, DATEV, Microsoft Dynamics 365, Business Central and NAV, proALPHA and Sage there are proven approaches, which we describe under enaio interfaces. AWP Consult reviews the TMS and WMS before the project starts and only then gives a commitment.

  • Data in enaioMaster data and case keys from the specialist systems
  • Call-up from the specialist system the matching file opens from an order, goods receipt or posting
  • FeedbackStatus such as document present or approval granted, depending on the interface

How does enaio in logistics grow step by step?

enaio in logistics grows in expansion stages: the rollout usually begins with incoming invoices for carrier invoices, followed by the forwarding file and return control, e-invoicing and archiving, warehousing and contract logistics and finally fleet, HR and contracts. Each stage uses the data model and the permissions of the previous one and is only started after an accepted result.

Expansion in five stages 1 Incoming invoices 2 Forwarding file 3 E-invoice, archive 4 Warehouse, contract 5 Fleet, HR each stage builds on the data model of the previous one
01

Incoming invoices

Carrier invoices and credit notes go through a regulated review and approval path linked to the order. This is usually where the benefit becomes visible fastest.

02

Forwarding file and returns

Each order gets a file, proofs of delivery are assigned and monitored. Missing records appear as a task, complete files release invoicing.

03

E-invoice and archive

Incoming and outgoing e-invoices are processed in the structured format and filed audit-proof with retention periods per document type.

04

Warehousing and contract logistics

Depositors, goods receipts, stocktaking and customer contracts are added, with permissions per client and a connection to the WMS.

05

Fleet, HR and contracts

Vehicle and personnel files, driver records and contracts with customers and subcontractors complete the platform.

Which stage comes first for you depends on document volume, bottlenecks and specialist systems. We clarify this in the initial meeting.

Platform or point solutions: what sets enaio in logistics apart?

The difference lies in the setup: point solutions each solve one problem in one department, such as document capture or a delivery note archive, whereas enaio in logistics connects all areas on a shared data model with uniform permissions, deadlines and workflows. Both routes can make sense. What matters is how many areas you want to digitise in the medium term.

Point solutions or one platform Point solutions enaio as a platform Forwarding Warehouse Accounting HR Forwarding Warehouse Accounting HR one data model shared permissions, deadlines and archive
Criterion Point solutions per department enaio as a shared platform
Data basis Each solution has its own master data and numbers One data model, master data from the leading systems
Search Separate per system, cross-references are missing One search across order, customer, warehouse and contract, filtered by permissions
Permissions Maintained separately in each system One permission concept by role, site and client

Which mistakes happen when setting up enaio in logistics?

The most common mistakes when setting up enaio in logistics are starting without a data model, too many areas at once, unclear leading systems, a lack of separation of clients, driver and vehicle documents in the order file and sites without a contact person. None of these is a software problem, all can be avoided in the concept.

Typical mistake Consequence Better approach
Starting without a data model Each department creates its own file types, and later forwarding, warehousing and accounting do not fit together. Define objects, attributes and keys before the first expansion stage, including for areas that only follow later.
All areas at once The project becomes large, results come late, acceptance drops. Start with one expansion stage that shows benefit quickly and then expand in a targeted way.
Leading system unclear Customer numbers and addresses are maintained twice in enaio and the TMS and drift apart. Define a leading system for each attribute, enaio only takes over the data.
Clients not separated In contract logistics, staff see documents of other customers. Represent the client as a mandatory attribute with its own permission scope.
Driver documents in the order file Driving licence or training records are broadly visible and follow the wrong deadlines. Keep driver and vehicle documents in the personnel and vehicle files with their own permissions.
Sites without a key user Assignment errors and open documents pile up in branches. Name and train a key user for each site.

We will show you how this looks with enaio in your organisation.

How does AWP Consult implement enaio in logistics?

AWP Consult implements enaio in logistics in four phases: analysis of areas, document paths and specialist systems, a concept with data model, permissions and interfaces, a pilot of the first expansion stage at one site and a rollout to further sites and areas. Before the contract is signed there is a clearly defined project scope, and each phase ends with an accepted result.

What does enaio in logistics mean?

enaio in logistics means using the ECM platform enaio as a shared basis for forwarding, warehousing, contract logistics, transport and administration. All areas share one data model, one permission concept and one archive. TMS, WMS and ERP remain the leading systems for their data. AWP Consult configures file types, workflows and interfaces for the respective operation.

Which companies is enaio in logistics suitable for?

For forwarders, LTL forwarders in cooperations, warehouse and contract logistics providers and transport companies with their own fleet. It is particularly worthwhile where several areas and sites work with many documents. AWP Consult's customers include, for example, KISSEL Spedition from the CargoLine network.

Which enaio modules does a forwarder need?

To start usually enaio capture for scanning and import, enaio classify for recognition and assignment, the workflow for approvals and return control and the enaio webclient for branches. The AI module enaio kairos helps with documents without a fixed template. Which modules you actually need depends on the first expansion stage.

How is enaio connected to TMS, WMS and ERP?

Depending on the system, via programming interfaces, web services, file exchange or database access. For SAP, DATEV, Microsoft Dynamics 365, proALPHA and Sage there are proven approaches. AWP Consult reviews the TMS and WMS before the project starts. The goal is that no one maintains data twice.

Can enaio cover warehouse and contract logistics?

Yes. For the warehouse, files are created per depositor with cases per goods receipt, goods issue and stocktaking, linked via numbers from the WMS. In contract logistics, clients are separated via mandatory attributes and their own permission scopes. Contracts, service descriptions and process documentation are held in a customer file with versions.

Which document management system for transport is suitable for several sites?

One in which all sites work in the same system, documents are captured decentrally and processed centrally and permissions can be assigned by site. With enaio, branches access the system in the browser via the webclient, without their own server. A key user per site is also important.

Does enaio run in the cloud or in your own data centre?

Both are possible. enaio can be operated in your own data centre or as a cloud solution in a German data centre. Which option fits depends on IT strategy, site connectivity and existing systems. More on this on the page about enaio cloud hosting.

How are subcontractors and partners integrated?

Via the AWP Link and Upload Portal, partners upload proofs of delivery and invoices without their own access to enaio. Their invoices are assigned to the order and go through the same approval path as all incoming invoices.

What does the effort for enaio in logistics depend on?

Above all on the number of areas, sites and users, the modules required, the interfaces to TMS, WMS and ERP, the scope of legacy data migration and the operating model. There is also the licensing model of enaio, which is explained on the enaio license page. You receive a binding quote after the analysis via our contact page.

How does enaio in logistics differ from DocuWare or d.velop?

All three are established document management systems and can be used for logistics processes. Differences lie in architecture, module scope, operating models and partner network. For your project, what counts above all are the interfaces to TMS and ERP and the partner's industry experience. Factual comparisons can be found at enaio vs. DocuWare and enaio vs. d.velop.

When does enaio pay for itself in a forwarding company?

For AWP Consult customers, the implementation pays for itself on average after 12 to 18 months, measured across more than 40 companies. In forwarding companies the biggest lever is usually incoming invoices with many carrier invoices and faster invoicing through complete proofs of delivery.

Start with one expansion stage at one site

Start with incoming invoices or the forwarding file at one site and expand the platform as soon as the first result is accepted.
