enaio partner Germany: choosing the right one and rolling out remote and on site

The certified enaio partners in Germany set up enaio, connect it to your systems and support it in operation. You recognise the right partner by industry experience, verifiable references, a clear approach and how well on-site and remote work fit together.

The software is the same with every partner. The difference lies in how well someone knows the processes of your industry and how reliable the support is after go-live. AWP Consult has been a certified enaio partner since 2006, is based in Dietzenbach in the Rhine-Main region and supports projects throughout Germany.

Key points at a glance

01

The enaio partners in Germany are companies with official partner status that introduce enaio at the customer, adapt it to processes and specialist systems, and support it in operation with support, updates and further development.

02

Because the software is the same with every partner, industry experience, references from a comparable starting situation, a documented approach and dedicated contacts determine project success.

03

A hybrid model has proven effective: process analysis, training and go-live take place on site, while installation, configuration, interfaces and support run remotely via an approved and logged remote maintenance connection.

04

For remote maintenance you need a data processing agreement under Art. 28 GDPR as soon as the partner can access personal data, and where a works council exists, codetermination under § 87 para. 1 no. 6 BetrVG for the system.

05

Since 2006, AWP Consult has completed more than 250 projects and supports more than 150 reference customers in the DACH region, with a focus on logistics, industry and welfare.

What defines a certified enaio partner?

A certified enaio partner works with official partner status, introduces enaio at the customer and takes responsibility there for concept, configuration, interfaces, training and second-level support. The status alone, however, does not yet tell you whether the partner knows your industry, your ERP system and your way of working. You have to check that separately.

You are therefore choosing less a piece of software than a companion for many years. We describe in detail which tasks an enaio partner takes on across the entire lifecycle on the page for the DACH region. Here the focus is on how to find the right one in Germany.

Same platform, the partner makes the difference Differs from partner to partner Industry experience Support in operation Concept Interfaces Training Support enaio, the same with every partner
Same software

Every enaio provider works with the same platform and the same modules. Differences arise in concept, implementation and support.

Industry experience

It shows in whether the partner asks the right questions about your documents, files and deadlines in the initial consultation.

In-house development

A partner with its own development team can build interfaces and extensions itself and adapt them after updates.

Dedicated contacts

They pay off above all in ongoing operation, when the same people know both the concept and the installation.

Test us against your own starting situation

In the initial consultation we clarify your processes, systems and goals and tell you openly how we would approach the project and where enaio reaches its limits.

enaio partner Germany: which criteria do you select by?

You select an enaio partner in Germany by six criteria: partner status, industry experience with comparable references, experience with your ERP or specialist system, a documented approach with a pilot area, a support model on site and remote, and the arrangement of support and updates. Each criterion can be checked with a specific question in the conversation.

Six criteria, each with its own test question 1 Partner status 2 Industry 3 Your systems 4 Approach 5 On site, remote 6 Operation Partner check
Criterion How to recognise it Your question to the partner
Partner status Official status as a certified enaio partner, consultants with project experience in enaio Since when have you worked with enaio, and how many of your consultants use it regularly?
Industry experience References from your industry that you can speak to yourself Which customers with a similar starting situation can I call?
System landscape Experience with your ERP, financial accounting or specialist system and in-house interface development How do you connect our system, and who adapts the interface after an update?
Approach Documented methodology, start with a pilot area, acceptance per phase Which process would you start with at our company, and why?
On site and remote Clear deployment plan, secured remote maintenance, reachable location Which appointments take place at our site, and how is remote access secured?
Operation Written support agreement, test system, planned updates Who is my contact after go-live, and how do updates work?

Take these questions into every conversation so that the answers from different providers can be compared.

Do you have a specific question about your case?

How does selecting an enaio partner work step by step?

Selecting an enaio partner takes place in six steps: describe your goals and processes, review providers, draw up a shortlist, hold reference calls, run a workshop with your real documents, and compare the offers against the same scope of services.

From the market to the decision 1 Goals 2 Review 3 Shortlist 4 References 5 Workshop 6 Decision
01

Describe goals and processes

Record which processes should be digitised first, which systems need to be connected and who decides in the company. A short description with document types and volumes is enough. The DMS implementation checklist helps with the preparation.

02

Review providers

Specifically look for partners with experience in your industry and with your ERP system. A nearby location is an advantage but not a must if the support model on site and remote is clearly arranged.

03

Draw up a shortlist

Invite two or three partners to an initial consultation. Send them all the same description so that the answers are comparable.

04

Hold reference calls

Speak to customers whose starting situation is similar to yours. Ask about keeping to schedule, how problems are handled and support after go-live.

05

Workshop with real documents

Have one of your processes shown with your own anonymised documents. There you see how the partner thinks, asks questions and handles special cases.

06

Compare offers and decide

Compare scope of services, project phases, responsibilities and support. A clearly described scope before the contract starts is a good sign.

Are you at the start of the selection process? In the initial consultation we show you what a pilot process could look like at your company, with no obligation.

Generalist or specialised enaio provider: what is the difference?

A generalist introduces many systems and supports enaio as one of them; a specialised enaio provider has worked predominantly with enaio for years and plans time, concept and interfaces on the basis of comparable projects. What matters is the depth your project needs.

Area Generalist with a broad portfolio Specialised enaio partner
System knowledge enaio is one of several systems Focus on enaio, at AWP Consult since 2006
Scheduling Planning without enaio-specific experience values Schedule based on comparable enaio projects
Scope of services Described with varying precision depending on the provider Project phases and services defined before the contract starts
Industry knowledge General process knowledge Experience in logistics, industry and welfare
Support after go-live Often a separate support team The same contacts as in the project

Typical differences, not a statement about individual providers.

Which project steps take place on site and which remotely?

On site, the steps take place where people work together on the process: kick-off, process analysis, training and go-live. Installation, configuration, interface development, tests and support run remotely because they are technical work on the system. This hybrid model saves travel time without losing personal contact.

For companies in the Rhine-Main region, short distances are an advantage, and the regional support is described on the page about ECM consulting Frankfurt. For customers in Hamburg, Berlin, Munich or the Ruhr area we schedule the on-site appointments in blocks.

One project, two work locations On site at your company Remote Kick-off Process analysis Concept coordination Installation Interfaces Training Go-live Support
Project step Typical location Why
Kick-off and process analysis On site Processes, documents and special cases reveal themselves at the workplace, not in a video conference
Concept coordination Remote, on site if needed Short, frequent meetings with the department and IT
Installation and configuration Remote Technical work on the system via an approved remote maintenance connection
Interfaces and tests Remote, acceptance together Development in the test system, functional acceptance by your key users
Training On site or online Key users on site, other users also in online training
Go-live On site A contact in house when the first real transactions are running
Support and updates Remote Fast help without travel, updates first in the test system

How do enaio partners in Germany work together securely, remote and on site?

Remote and on site work together securely when remote access is only established after your approval and is logged, a data processing agreement under Art. 28 GDPR is in place, the works council is involved early, and it is clear for each project step where it takes place. We clarify these four points before the first appointment.

01

What should take place on site

Process analysis and go-live are the two appointments that we almost always carry out at your site. In the process analysis we see how documents actually arrive, where piles build up and which exceptions everyday work knows. At go-live the first real transactions run, and questions can be clarified directly at the workplace.

  • Process analysis with the people who work with the documents today
  • Key user training hands-on on your own system and with your own documents
  • Go-liveSupport during the first days of productive operation
Practical tip

Bundle on-site appointments. A full day achieves more than two half days.

02

What works well remotely

Installation, configuration, interface development and support are technical work on the system. They run remotely without loss of quality, often even faster, because there is no need to wait for an on-site appointment. The prerequisite is a test system in which changes and updates are checked before they go into production.

03

Arranging remote maintenance securely

The module OPS.1.2.5 Remote maintenance in the IT-Grundschutz compendium of the Federal Office for Information Security (BSI) describes requirements for protecting remote maintenance access and the information transmitted in the process. Simple rules can be derived from it for an enaio project:

  • Access is only established after your approval, not kept open permanently.
  • Each session is logged with person, time and purpose.
  • The partner only receives the rights needed for the task.
  • Access is personal and is withdrawn when staff change.
Practical tip

Record the remote maintenance rules in writing, ideally as an annex to the support agreement.

04

Data processing and data protection

If the partner can access personal data during remote maintenance, support or hosting, for example in personnel files or invoices from sole traders, it is generally a processor. Under Art. 28 of the General Data Protection Regulation (GDPR) you may then only use partners that provide sufficient guarantees for technical and organisational measures, and you need a data processing agreement. You can find the basics under document management in line with GDPR.

05

Works council and codetermination

A DMS logs who opened or approved which document and when. This makes it a technical device that is in principle capable of monitoring behaviour or performance. Under § 87 para. 1 no. 6 of the Works Constitution Act (BetrVG), the works council has a codetermination right in the introduction and use of such devices.

In practice, a works agreement governs which logs may be evaluated. It runs in parallel with the concept phase.

Practical tip

Invite the works council to the process analysis. Those who know the process from the start can conclude the works agreement more quickly.

06

Own server or hosting in Germany

enaio runs on servers in your own data centre or in cloud hosting. AWP Consult offers hosting in German data centres at the Frankfurt location. Under § 147 para. 6 of the Fiscal Code (AO), a third party holding tax-relevant data must grant the tax authority access in the course of an external audit. This obligation belongs in every hosting contract.

As proof of the security of a cloud service, many companies use the BSI C5 criteria catalogue or certificates such as ISO 27001. The page cloud or on-premises describes the trade-off in detail, and the offer itself is described under enaio cloud hosting.

Which German requirements must an enaio service provider know?

An enaio service provider in Germany must know the GoBD with process documentation, the retention periods under § 147 AO, the e-invoice obligations, the GDPR together with the Federal Data Protection Act (BDSG) and the codetermination of the works council, because these requirements determine the file structure, deadlines, permissions and logging in the system.

How the individual requirements are implemented is described on the pages about the GoBD-compliant DMS, the incoming invoice workflow and the digital personnel file.

What a partner in Germany must know GoBD § 147 AO E-invoice GDPR and BDSG § 87 BetrVG Data access
GoBD and process documentation

Storage, indexing, permissions and deletion rules must be described in a comprehensible way.

Deadlines under § 147 AO

Ten years for books and annual financial statements, eight years for accounting documents, six years for commercial and business letters, stored as a rule per document type.

E-invoice

Since 1 January 2025, domestic companies must be able to receive e-invoices. The structured format is archived in the format in which it is received.

GDPR and BDSG

The permissions concept, information, deletion and processing on behalf must be reflected in the system and in the contracts.

Codetermination

Logs and evaluations are agreed with the works council, usually in a works agreement.

Data access by the tax authorities

Even where a third party provides hosting, access must be possible under § 147 para. 6 AO.

What does the effort for an enaio implementation depend on?

The effort for an enaio implementation depends on the number of processes and users, the modules required and the licensing model, the number and type of interfaces, the migration of legacy data, operation on your own servers or in hosting, and the scope of training and support. A serious statement is only possible after the needs analysis.

How enaio can be licensed is explained on the page about the enaio licence, and the cost factors at a glance can be found under enaio costs. You receive a specific offer via our contact page. For our customers, the implementation pays for itself on average after 12 to 18 months, determined across more than 40 companies. With the payback calculator you can make an initial estimate for your company.

Which mistakes happen when selecting an enaio partner?

The most common mistakes when selecting an enaio partner are deciding on the basis of a presentation instead of a workshop, references without a comparable starting situation, an offer without a clear scope of services, an unresolved support model after go-live, involving the works council and data protection too late, and choosing solely by distance to the location.

01

Deciding on a presentation

Consequence
The demonstration with sample documents looks convincing, but in everyday work the special cases are missing.
Better
Arrange a workshop with your own anonymised documents and a real process.
02

References without relevance

Consequence
The reference comes from a different industry or size and says little about your project.
Better
Specifically ask for customers with a comparable starting situation and call them yourself.
03

Scope of services left open

Consequence
Important work such as data migration or interface tests only surfaces during the project.
Better
Define phases, services and responsibilities in writing before the contract starts.
04

Operation not arranged

Consequence
After go-live the contacts change and knowledge is lost.
Better
Clarify the support agreement, contacts and update approach already during the selection.
05

Works council and data protection too late

Consequence
The works agreement delays the go-live, and the data processing agreement is missing.
Better
Place both topics in the concept phase and invite the works council to the process analysis.
06

Choosing by distance alone

Consequence
The nearest provider does not know your industry or your ERP system.
Better
Assess experience first, and solve the distance through a clear deployment model on site and remote.

Do you have a specific question about your case?

What should you prepare for the initial consultation?

For the initial consultation with an enaio partner, you should prepare documents on processes and systems, the names of the people involved on your side, and your goals with a timeframe. The more specific these points are, the better partners can be compared.

01

Documents

  • A short description of the processes that should be digitised first
  • A list of document types with approximate volumes
  • An overview of your ERP, financial accounting and specialist systems with versions
  • A few anonymised sample documents, including difficult ones
02

People involved

  • Project management on your side with decision-making authority
  • A representative from the department and from IT
  • Data protection officer
  • Works council, if one exists
03

Goals and framework

  • What should work better after the first project phase?
  • Are there fixed deadlines, for example due to the e-invoice or an audit?
  • Own server or hosting in Germany?
  • Which appointments should take place on site at your company?

How do I find the right one among the enaio partners in Germany?

First describe your processes, systems and goals and invite two or three partners with experience in your industry to an initial consultation. Hold reference calls with customers in a comparable situation. After that, have one of your processes shown with your own documents.

Do enaio partners in Germany also work remotely?

Yes, and today that is the norm. Installation, configuration, interfaces and support run remotely via a secured remote maintenance connection that is only established after your approval and is logged. Process analysis, key user training and go-live usually take place on site.

What sets AWP Consult apart from other enaio partners?

AWP Consult has specialised in enaio since 2006 and has completed more than 250 projects since then. Consulting, development and support are located together in Dietzenbach, and the contacts remain the same from concept to operation. The focus is on logistics, industry and welfare, complemented by in-house extensions such as AWP SmartFlow and the AWP Import GUI.

Does AWP Consult also work outside Hesse?

Yes. The headquarters is in Dietzenbach in the Rhine-Main region, but we support projects throughout Germany and the rest of the DACH region. We schedule on-site appointments in blocks, and the technical work runs remotely. For companies in Austria and Switzerland there is a dedicated page on the DACH region.

Does AWP Consult offer cloud hosting for enaio?

Yes, in German data centres at the Frankfurt location. Operation is GDPR-compliant and ISO-certified, and the data does not leave the EU. Alternatively, enaio runs on your own servers.

How does cooperation with AWP Consult work?

The initial consultation is followed by a needs analysis, an offer with a fully described scope of services, conception, implementation with go-live support, and ongoing support. Each phase ends with an accepted result.

What does certified enaio partner mean?

A certified enaio partner works with official partner status and introduces enaio at customers, adapts it and supports it. The status is a basic prerequisite. On its own it says little about industry experience, the quality of the concepts and reliability in operation. You check these points through references and a workshop.

Do we need a data processing agreement for remote maintenance?

As a rule yes, if the partner can access personal data during remote maintenance, support or hosting. Art. 28 GDPR then requires a contract that governs the subject matter, duration, type of data and the technical and organisational measures. In addition, you should set out the approval and logging of remote maintenance in writing.

Must the works council approve the enaio implementation?

If a works council exists, it has a codetermination right under § 87 para. 1 no. 6 BetrVG for technical devices capable of monitoring behaviour or performance. A DMS with access logs generally falls under this. A works agreement governing evaluations and access to logs is customary. Therefore involve the works council early.

What does an enaio partner cost?

That depends on processes, number of users, modules, licensing model, interfaces, data migration, form of operation and scope of support. A reliable statement is only possible after the needs analysis. You receive a specific offer via our contact page. For our customers, the implementation pays for itself on average after 12 to 18 months.

Which terms will you come across when choosing a partner?

When choosing an enaio partner you come across terms from project methodology, operation, data protection and codetermination that regularly appear in offers, support agreements and contracts. We briefly explain the most important ones here.

Certified enaio partner
A company with official partner status that introduces, adapts, integrates and supports enaio at customers.
Reference call
A phone call or visit to an existing customer of the partner to hear first-hand experience.
Pilot area
The first process or area in which enaio goes into production before others follow.
Key user
A person from the department who knows the system particularly well, answers questions and handles tests.
Remote maintenance
The partner's access to your system via a secured connection in order to configure, analyse errors or apply updates.
Processing on behalf
Processing of personal data by a service provider on behalf of and under the instructions of the controller, governed by Art. 28 GDPR.
Works agreement
An agreement between employer and works council that governs, for example, which logs of a system may be evaluated.
Process documentation
A description of an IT-supported procedure that, in line with the GoBD, makes content, structure, process and results comprehensible.

We show you what this looks like with enaio at your company.
